Custom development is how we earn our living, and still: most companies that come asking for an app do not need one yet. I say this to clients directly, so I can write it here too. It costs us projects and saves our reputation, which is the better trade. Here are the five situations where we will honestly tell you to keep your money.
Five situations where custom is the wrong answer
1. Your process is standard. Payroll, general accounting, email marketing, video calls: these problems are identical in a million companies, and excellent software for them already exists at a subscription price no custom build can compete with. Custom development earns its keep only where your process differs from everyone else's.
2. You have not run the process manually yet. If the workflow does not work in a spreadsheet and a group chat, an app will not fix it; it will only make the confusion permanent and expensive. Run it by hand for a month first. Automate what works, not what you hope will work.
3. The pain belongs to one person. If one employee hates one task, that is a task for a smaller tool, a template, or a habit, not for a five-figure project. An app pays for itself when it removes a cost the whole company keeps paying.
4. A free niche app already covers 80 percent. Before quoting, we often point people to existing tools, including our own free apps for invoicing, receipts, inventory and field work. If 80 percent is covered for zero euros, live with the missing 20 percent for a quarter. Then you will know whether that 20 percent is worth paying for; that is exactly the moment a paid extension makes sense.
5. You want an app "to have an app". If the goal is presence rather than a working tool, a good landing page does the job for a tenth of the price. An app nobody opens twice is the most expensive business card there is.
Four situations where custom is the right answer
Your process is your advantage. When the way you work is the reason clients choose you, generic software actively hurts: it forces you to work like everyone else.
Off-the-shelf forces harmful workarounds. When the team maintains three spreadsheets to compensate for the gaps in the "solution", you already pay for custom development, just in hours instead of euros.
Per-seat pricing has crossed the line. Multiply the monthly SaaS bill by 36. When three years of subscription exceeds the price of building your own, and the tool is core to the business, owning it wins.
The data must stay yours. Client lists, financials, medical records: when confidentiality is a legal or reputational necessity, software with data on your device or your server is not a preference; it is a requirement.
